Tatkowski Interpreting & Recruitment Limited ("we", "us", "our") is committed to protecting your personal data. This policy explains what we collect, why we collect it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

When you request a service, we may collect:

• Name, email address, phone number
• Postal or billing address
• Documents submitted for translation
• Company name and job title (business clients)

When you visit our website, we may automatically collect:

• IP address, browser type, and device information
• Pages visited and time on site
• Referring website or search terms
• Cookie data (see Section 8)

When you contact us via WhatsApp, we process messages and any documents you send through that platform. WhatsApp (Meta Platforms Ireland Limited) acts as a data processor in this context. Their privacy policy applies to the platform itself.

We may share your data only where necessary:

• Translators and interpreters — contractors working on your order
• Payment processors — Revolut Payments UAB, to process transactions securely
• Directory and listing platforms — business name, address, and contact details only, for local business listings
• Cloud and IT service providers (e.g. Microsoft 365, Cloudflare)
• Legal or regulatory authorities — where required by law

We never sell your personal data.

Where we use service providers that transfer data outside the UK or EU/EEA, we ensure appropriate safeguards are in place, including Standard Contractual Clauses or adequacy decisions recognised under UK law.

You have the right to lodge a complaint with the ICO at any time. We would appreciate the opportunity to address your concerns directly before you contact the ICO.

8. Cookies and storage on your device

We don’t use advertising or tracking cookies, and we don’t use Google Analytics or similar tools. Our visitor statistics come from our own servers and don’t place anything on your device.

We only store what the site needs to work:

• a sign-in cookie when you open My orders or Validate, so you stay signed in;
• your language choice for our call service;
• small settings kept in your browser: light or dark mode, your language, and whether you’ve already seen our cookie notice or install suggestion;
• your quote details while you complete an order, so a page reload doesn’t lose them.

These are strictly necessary or are settings you chose, so no consent is needed. You can clear them at any time in your browser settings; the site will still work, but you’ll need to sign in again.

9. Children's Privacy

Our services are not directed at individuals under 13 in the United Kingdom. We do not knowingly collect personal data from children. If you believe we hold such data, please contact us immediately at contact@tatkowski.co.uk.

Our website may link to external platforms (e.g. WhatsApp, LinkedIn, Google). We are not responsible for the privacy practices of those third parties. Please review their policies separately.

We may update this policy from time to time. The "Last updated" date at the top will reflect any changes. Continued use of our services after a material update constitutes acceptance of the revised policy.

Automated Processing & Artificial Intelligence

Our quote form uses artificial intelligence to analyse uploaded documents and calculate pricing. Documents are processed by Cloudflare Workers AI.

Our WhatsApp assistant is powered by AI and may handle initial enquiries. Conversation state is stored temporarily per session to maintain context and is cleared after a period of inactivity.

Uploaded documents are stored securely to support redelivery and deleted 90 days after delivery. Documents are never used to train AI models.

You have the right to request human review of any automated decision. To exercise this right, contact us at contact@tatkowski.co.uk. This processing is carried out under Article 6(1)(b) UK GDPR (performance of a contract).

Chat on our website

When you use the chat, we keep your messages, any files you send, and your email address if you give it, so we can answer you and handle your order. Answers may come from Lingo, our AI assistant, which runs on our own Cloudflare account and is not trained on your messages. A member of our team can read the chat and reply. Messages in another language are translated automatically. A chat with no order is deleted 12 months after its last message; a chat linked to an order is deleted when the order is deleted or anonymised. You can ask us to see or delete your chat at any time.
