When You Need a Certified Criminal Record Translation in the UK
A foreign police clearance certificate or criminal record extract issued in a language other than English or Welsh must be accompanied by a certified translation whenever a UK authority, employer or regulator reads it as evidence of criminality history. UKVI treats the sealed block, the QR-verification code and the expiry statement as the certificate's authenticity markers; all three must appear on the translation. Common contexts:
- Indefinite Leave to Remain (SET(M), SET(O), SET(LR)): applicants must submit police clearance from every country of residence for 12 months or more in the last 10 years. The Home Office reads the certificate against a fixed criminality-history checklist.
- British citizenship and naturalisation applications: section 6 applications made after settlement rely on the same criminality-history file, and any residence period before UK arrival is covered by the foreign police clearance.
- Skilled Worker visa in Annex 2 regulated occupations (healthcare, education, therapy, care): applicants must provide police certificates from each country of residence for 12 months or more in the last 10 years before the CoS start date.
- Health and Care Worker visa: NHS and social-care sponsors read the certificate through the sponsor licence file before issuing a CoS.
- Regulated-profession registration: the GMC, NMC, HCPC, GDC, GPhC and equivalent regulators read the criminality history for fitness-to-practise decisions before granting UK registration.
- Enhanced DBS-equivalent employer checks: schools, care homes, safeguarding-critical roles and transport operators read the foreign certificate alongside a UK DBS check.
- Adoption and fostering applications: UK local-authority panels reading an international adoption or fostering assessment require a translated police certificate from every country of prior residence.
- UK university admissions and student visa for longer courses where the sponsor institution or ATAS assessor reads the certificate.
What Your Certified Translation Contains
Every certified criminal record translation we issue carries the four elements the Home Office looks for under Paragraph 39B of the Immigration Rules, on the same page as the translated text:
- Statement of accuracy confirming the translation is a complete and accurate rendering of the source.
- Date of translation so the caseworker sees the file is current.
- Translator's full name and signature.
- Contact details for verification.
Country Coverage We Translate
- Poland (Zaświadczenie o niekaralności, KRK): issued by the Krajowy Rejestr Karny. Six-month validity from the date of issue. We translate the sealed block, the KRK reference and the expiry statement in full.
- Ukraine (Довідка про відсутність судимості, МВС): issued by the Ministry of Internal Affairs. Cyrillic-to-Latin transliteration follows the passport spelling.
- France (Extrait de casier judiciaire — Bulletin n° 3): issued by the Casier judiciaire national at Nantes. The Bulletin number and the request-reference block are preserved in situ.
- Germany (Führungszeugnis): issued by the Bundesamt für Justiz. The seal-and-QR block is the certificate's authenticity marker; both are translated.
- India (PCC issued by Regional Passport Office): usually accompanied by an Apostille where the applicant will use it under the Hague Convention. The Apostille is translated in situ.
- Nigeria, Pakistan, Bangladesh and Sri Lanka: police clearance certificates from the national police headquarters. Where an Apostille is issued by the Ministry of Foreign Affairs, it is translated alongside.
- Romania (Cazier judiciar): issued by the Ministry of Internal Affairs. Recent extracts carry an EU multilingual standard-form annex under Regulation 2016/1191.
- China (无犯罪记录证明): issued by the local Public Security Bureau. The unified seal-and-issue-number block is preserved in the source layout.
Common Reasons Translations Get Queried
- Untranslated seals, QR-verification blocks or expiry statements: UKVI treats the sealed block as the authenticity marker. A translation that omits it is not considered valid evidence for the criminality check.
- Untranslated Apostille or legalisation stamp: for certificates from Hague Convention countries, the Apostille is the cross-border authenticity chain. It is translated in situ.
- Certificates translated after their validity has expired: many countries issue clearance certificates with a six-month validity from date of issue. A translation dated after expiry does not extend the certificate.
- Selective translation of a multi-country residence pack: applicants who translate only some of the required certificates fail the residence-continuity check even where each individual certificate is clean.
- Name-transliteration inconsistencies: the certificate must transliterate the applicant's name identically to the passport, not to an older romanisation the source jurisdiction used.

Questions
Frequently Asked Questions
Why do I need a criminal record translation in the UK?
UKVI requires certified translations of police clearance certificates from any country where you have lived for 12 months or more in the last 10 years, typically for Indefinite Leave to Remain, British citizenship, Skilled Worker visa in regulated occupations, and Health and Care Worker visa. Employers, professional regulators and adoption panels may also require it.
How much does criminal record translation cost?
£39.99 per page for standard delivery. A standard criminal record certificate or police clearance letter is typically 1 to 2 pages. Handwriting adds £9.99 per page and a posted hard copy is £19.99 flat. Fixed price, no hidden fees.
Which countries' criminal records do you translate?
Countries including Poland (KRK), Ukraine (МВС), France (Casier judiciaire), Germany (Führungszeugnis), Romania (Cazier judiciar), Russia, India, Pakistan, Bangladesh, Sri Lanka, Nigeria, China, Turkey, Brazil and many more. Non-Roman scripts are handled with transliteration matching the passport spelling.
How long does criminal record translation take?
Standard delivery is 24 hours for 1 to 3 pages, 36 hours for 4 to 6 pages, and 48 hours for 7 to 10 pages. If you need it sooner, Prioritise for £59.99 per page and it is within 12 hours.
Do you translate the seal and QR-verification block?
Yes, and this matters. UKVI treats the sealed block, the QR-verification code and the expiry statement as the certificate's authenticity markers. A translated certificate that omits any of the three is not considered valid evidence for the criminality-history check.
Do you translate the Apostille too?
Yes. Where the certificate is issued under the Hague Apostille Convention, the Apostille stamp is translated in situ with the Convention reference, issuing state, issuing authority and unique certificate number all preserved. This is the cross-border authenticity chain UKVI reads.
How do you handle multi-country residence packs?
Where the applicant has lived in multiple countries for the qualifying period, each certificate is translated in full, and we assemble the translated set in the order the UKVI portal asks for. Home Office guidance groups countries chronologically, so the caseworker reads the criminality history in one flow.
What if my certificate is close to expiry?
Many jurisdictions issue clearance certificates with a six-month validity from date of issue. Send the certificate as soon as it is issued; standard delivery is 24 hours from receipt for a 1 to 3 page certificate; Prioritise gives a 12-hour delivery aim.
